Privacy Policy The DLC Landscape Services personal information protection policy aims to promote responsible and transparent practices in the management of personal information, in accordance with the provisions of the Act on the protection of personal information in the private sector. It is intended to inform you of how DLC collects, uses, discloses, stores, shares and protects your personal information. In order to provide you with quality services, we must have access to certain personal information about you. We ensure that our employees manage this information with all necessary discretion and rigor, and in compliance with current legal and regulatory requirements.
PERSONAL INFORMATION
We understand by “personal information” any information which concerns a natural person and allows them to be identified. Bill 64 excludes “personal information concerning the exercise by the individual of a function within a company”. This includes “their name, title and position, as well as their workplace address, email address and telephone number.” As part of our mission, we must collect certain personal information about you. As a general rule, DLC will obtain the necessary personal information directly from you, with your consent, subject to exceptions provided for by law. This includes, but is not limited to: • Recruitment-related information such as CVs, information on your professional or academic history, or any other information relevant to potential recruitment; • The contact details of our employees: Name, first name, address, email, SIN, date of birth, remuneration, banking information (specimen check), copy of driving license, ASP-Construction card, etc.; • Customer information: identifying information such as first name, last name, address, telephone number, email; • Billing information such as billing address, banking information or payment system data;
PURPOSE OF COLLECTION OF PERSONAL INFORMATION
DLC collects personal information for the following limited purposes: • For administrative and management needs; • For the management of contracts and the services to be provided.
RETENTION OF PERSONAL INFORMATION
Personal information is only kept for the period necessary for the purposes provided for in this Policy and to ensure that we comply with our legal and regulatory obligations. SECURITY MEASURES RELATING TO PERSONAL INFORMATION
DLC strives to apply the necessary and appropriate security measures to ensure the confidential nature of the personal information in its possession. To do this, we follow standards generally accepted in the industry. The personal information we hold is therefore only accessible to people who need it to carry out their duties. Appropriate physical, technical and/or administrative protection and security measures have been put in place and are kept up to date in order to avoid: Any accidental or non-legal destruction; • Any accidental loss; • Any unauthorized disclosure; • Any unauthorized modification; • Any unauthorized access; And • Any illegal processing. Please note, however, that no method of transmission over the Internet, nor any means of electronic storage, is completely secure. We cannot therefore guarantee the absolute security of the personal information transmitted to us or that you provide to us. We also cannot guarantee that this personal information will not be obtained, accessed, disclosed, modified or destroyed as a result of a breach of our protection and security measures. YOUR RIGHTS
Depending on applicable laws, you may have the right to obtain access to your personal information, its rectification or erasure, the right to withdraw your consent (if applicable), the right to be informed of a decision based on exclusively on automated processing (if applicable), the right not to as be discriminated against, the right to restrict and object to the use and processing of your personal information by DLC, or the right to data portability, namely to receive a copy of all personal information that DLC has about you in a structured, commonly used and machine-readable format. To exercise any of these rights (to the extent they are available), please submit your request by writing to the Privacy Officer as indicated in the “Contact” section. Depending on the right exercised, we will inform you of the procedure to follow, the processing time (response time) and the necessary information.
ROLE AND RESPONSIBILITIES REGARDING THE PROTECTION OF PERSONAL INFORMATION
The manager or his delegate of DLC ensures compliance and implementation of the Act respecting the protection of personal information in the private sector. The manager or his delegate ensures the protection of personal information held by DLC. The manager or his delegate ensures the dissemination on the DLC website of the policy on the protection of personal information. As Personal Information Protection Officer, the manager or his delegate must: • Define and approve the orientations, policies and practices regarding the protection of personal information that DLC must establish and implement; • Approve the governance rules; • Participate in privacy impact assessments (“PIA”) concerning certain information or electronic service delivery systems and suggest measures to ensure the protection of personal information processed within these systems;
